How Trophy handles information about organisers, players, supporters, coaches and guardians.

The controller is Cube Systems Limited, registered in England and Wales with company number 17220899, trading as Trophy. Our registered office is Unit 11, Olney Business Park, Osier Way, Olney, Buckinghamshire, MK46 5FP.

2. What we collect
Depending on how you use Trophy, we may collect an organiser account email, display name, sign-in provider details, tournament names and settings, player or team details, scores, corrections, device and browser information, support messages, payment references and security logs.
A player can join an event without an account. Organisers should avoid entering information that is not needed for the event, particularly special category data.
3. Why we use it and lawful bases
- To provide the service, create an event and show the board: performance of a contract.
- To keep accounts, prevent abuse, protect the service and maintain audit records: legitimate interests and legal obligations.
- To process payments and meet accounting requirements: performance of a contract and legal obligations.
- To send optional product updates: consent or legitimate interests, with an unsubscribe option where required.
- To answer a support request: performance of a contract or legitimate interests.
4. Children and junior events
Trophy is not intended for a child to create an organiser account. A child can join a tournament through an organiser-provided link or code, subject to the organiser's responsibility for the event.
Junior mode is designed to minimise exposure: guardian-held records, redacted public names and staff-only scoring. Organisers must follow the full Keeping kids safe policy and their own club or governing-body requirements.
6. Storage and international transfers
Our service may use suppliers or infrastructure outside the UK. Where personal data leaves the UK, we use an adequacy decision, UK International Data Transfer Agreement, Addendum or another lawful safeguard as appropriate.
7. How we protect it
We use access controls, encrypted connections, restricted staff access, rate limits, audit records and supplier security reviews appropriate to the information we hold. No online service can guarantee absolute security, so tell us quickly if you suspect unauthorised access.
8. How long we keep it
We keep account and tournament information while it is needed to provide the service, operate club history or meet legal obligations. Public results may remain available at the organiser's direction. Security and payment records may be retained for longer where required or reasonably necessary.
We delete or anonymise information when it is no longer needed, subject to backups and legal holds.
9. Your rights
Subject to legal exceptions, you may ask for access, correction, deletion, restriction, portability or objection, and withdraw consent where processing relies on consent. We may need information to verify your identity and may ask the organiser to handle data they entered about another person.

11. Changes to this policy
We may update this policy when the service, law or suppliers change. The date at the top identifies the current version. We will provide additional notice where a change is material and notice is reasonably possible.
